Travel Agent CRM Software: What It Actually Has to Do

A travel agent CRM is the advisor's own record of people and conversations: who each client is, what was quoted, what was agreed, what needs chasing and when. It is not a booking engine and not a replacement for the agency or supplier systems where bookings actually live. The test of a good one is boring: can you see, in a few seconds, every open quote and every promise you made this week?

What a CRM does that a booking system does not

Booking systems record transactions. They know a reservation exists, what it costs and when it travels. They do not know that the client asked you to avoid connecting flights, that the anniversary is in October, or that you promised to send two alternative hotels by Friday.

That second layer is what a CRM holds: contact history, notes, quotes that have not been decided yet, follow-up dates, and the trail of what was said. Most advisors lose money in the gap between an enquiry and a decision, and that gap lives entirely outside the booking system.

If you work under a host agency, its systems remain the record for bookings and reporting. A CRM sits beside them as your own working memory, which is why it stays with you rather than with any one supplier.

The short list of things that genuinely matter

One place per client. Every enquiry, quote, message and note attached to the person, not scattered across your phone, inbox and notebook.

Follow-ups you cannot forget. A quote with no next action is a lost sale waiting to happen, so the system should show today's chases without you searching for them.

Fast entry on a phone. Most travel conversations start somewhere inconvenient. If logging a note takes four taps, you will not do it.

An export you own. Before you commit to anything, check that you can get your client list and history out in a readable file. This is the single question people skip and later regret.

Honest pricing over time. Ask what the cost is after any introductory period, what happens when you add a second seat, and what recurs if you make no bookings in a month.

Questions to ask any vendor, including us

Where is my data held, who can see it, and how do I delete it? A vague answer is an answer.

What exactly is included in the price, and which parts are billed by a third party? Software assembled from other platforms can carry separate costs that appear on a different invoice.

What happens to my records if I stop paying, or if I leave my host agency? You should be able to keep your own client history in both cases.

Is this an official product of a travel company, or independent software? The distinction changes who supports it and who is accountable for it.
