The Travel Agent Checklist: What to Verify Before You Start
By OdysseySoul Travel Editorial Team · Fact review: Felipe Soares (owner review) · 2026-09-20
A useful travel agent checklist has two halves and most versions only give you one. The first half is verification: the full recurring cost in writing, the current official documents of any company you consider, and the local rules that apply where you live. The second half is the working routine: answering enquiries, quoting clearly, following up, and keeping a record of every client. Nothing on a checklist can tell you what you would earn, and and no checklist decides who may take part in anything — those answers come only from current official documents.
Before you spend anything
Get the full recurring cost in writing: any joining or membership cost, training you choose to buy, tools, and whatever continues in a month with no bookings. A number you were told in a call is not a number you verified.
Read the current official material of any company you consider, not a summary from someone who benefits when you sign up. What a host agency includes for its advisors is described in its own materials. [S27]
Know which activity you are reading about. Travel-advisor activity and independent-representative activity are separate routes with separate documents, and interest in one is not enrolment in the other. [S09]
Keep compensation questions pointed at the current applicable official disclosure of the specific company. No checklist, including this one, is a source of earnings figures. [S08]
What applies where you live
Registration, tax and any seller-of-travel style rules are yours to meet, and they differ by place. Whether a company permits activity in your market is answered only by that company's current official material — never by your language, nationality or location suggesting it. [S02]
If you cannot find a clear current answer for your market, treat it as unknown rather than permission. The market register on this site records what is verified and what is still under review, and no record means blocked.
The working checklist, once you begin
Answer every enquiry, even to say no. State your response hours honestly rather than appearing always available.
Quote in writing and read the cancellation and change terms before you send anything. Most avoidable problems are terms nobody read.
Follow up on the quotes nobody answered — most bookings are lost in that gap, not at the enquiry.
Keep one record per client: what they asked, what you quoted, what is still open. Expect payment to trail the work — commission is generally paid by suppliers after a booking or after travel, so treat the first stretch as unpaid setup.
What supports the routine
Host booking systems record bookings; they are not built to be your record of a relationship. Travel OS CRM™, powered by AEGIS OS™, is an independent system built for that side of the work — client history, follow-ups and open quotes in one place. Access is limited to eligible OdysseySoul Travel team members, separate third-party costs may apply, and it is not an official InteleTravel or PlanNet Marketing product.
Start with whatever you will genuinely maintain on a busy week; a simple record you keep beats a system you abandon.
